Define a Business Workflow

Sequence of core procedures

The following procedures are essential for defining a Business Workflow and must be performed in the specified order.

Create a Business Workflow

Add steps to a Business Workflow

Application database > Business Workflows > Desired Business Workflow > > Steps

Application database > Navigation panel > Processes and Workflow > Business Workflows > desired Business Workflow > > Steps

  1. If the Business Workflow has already been prepared, click Edit.
  2. Drag the Step icon into the work panel.
  3. Complete the fields as desired and click OK to save.
  4. To add another step, repeat steps 2 and 3, considering the following:
If you want to arrange the steps... Then...
in series position the step next to the previous one.
in parallel position the step below the one to be completed in parallel.
5. After two or more steps in parallel, drag a join node into the work panel.
6. Link the elements of the Business Workflow. See Link two elements of the chart for details.
7. To organise the Business Workflow formatting automatically, click Auto-format.
8. Click Save.

Create a task workflow and the relative tasks

This procedure allows you to select and order the tasks that the user has to complete.

  1. Click : the Task workflow window will open.
  2. Complete the fields and click OK to confirm.
  3. Click the desired task tab.
  4. Drag the desired task into the work panel.
  5. Complete the fields and click OK to confirm.
  6. To add more tasks, repeat steps 3 to 5, considering the following:
If you want to arrange the tasks... Then...
in series position the task next to the previous one.
in parallel position the task below the one to be completed in parallel.
7. After two or more tasks in parallel, drag a join node into the work panel.
8. Click the Submit tab and drag the Submit task to the bottom of the task workflow. If necessary, also drag the Approval task.
9. Complete the fields and click OK to confirm.
10. Link the elements of the task workflow. See Link two elements of the chart for details.
11. To organise the task workflow formatting automatically, click Auto-format.
12. Click Save.

Create a task workflow for a Collaborative Office document

This procedure allows you to create a task workflow containing one task per document part of the Collaborative Office document to be submitted/closed.

  1. Click : the Task workflow window will open.
  2. Complete the fields and click OK to confirm.
  3. Click the Other activities tab.
  4. For each document part of the document to be submitted, drag a Collaborative Office task into the work panel, complete the fields and press OK to confirm.

Note: selecting Open as PDF will open the document in PDF format. 5. Link the first document part to the Start task. 6. Link the tasks together. 7. Drag a join node into the work panel to link several document parts in parallel. 8. Join the tasks attributable to document parts of the same document chapter to the same node. 9. For each chapter, drag a Collaborative Office task into the work panel, complete the fields and press OK to confirm. 10. Drag a join node into the work panel. 11. Link the related chapter and tasks via the node you have just dragged over. 12. Drag a Collaborative Office task into the work panel for the master document, complete the fields and press OK to confirm. 13. Click the Submit tab and drag the Submit task to the bottom of the task workflow. 14. Complete the fields and click OK to confirm. 15. Use the nodes to link the chapters to the master document task and the master document task to the Submit task. 16. To organise the task workflow formatting automatically, click Auto-format. 17. Click Save.

Managing dependencies

This procedure is used to control data submissions/rejections.

  1. Select the step on which to set the dependencies: the Configure Step window opens..

Note: fields are available to set dependencies only if the selected step has preceding steps. 2. Set the rules for dependencies, then click Save.

  1. Click Edit.
  2. Do the following:
If you want to... Then...
delete a step or link (arrow) 1. Right click on the desired step/arrow. 2. Click Delete.
modify a step 1. Right click on the desired step. 2. Click Edit. 3. Edit the fields as desired and click OK to save.
  1. Click Save.

Link two elements of the chart

  1. Position the cursor in the centre of the first element to link.
  2. Drag the arrow to the second element to link.

To link two parallel tasks, use a join node.

  1. Click on the desired step.
  2. Do the following:

Group tasks together

  1. Press CTRL and click on the tasks to group together.
  2. Right click one of the desired tasks and click Create group.
