Keeping track of changes

Introduction

Working in auto-save mode on documents, all changes made to the document and objects are automatically shared with all users working on the document; therefore, no updates need to be saved when changes are made.

In order to keep track of all the changes (edits, deletions, additions and moves) made to the text of the document by the users working on it, it is possible to activate Word's Review function.

Changes on objects, on the other hand, are always recorded. To view all changes made by users to objects in the document, you can use the Changes panel.

IMPORTANT: The change tracker functionality is currently run in preview mode on Microsoft Azure.

Display changes to an object

To access the changes panel of an object, you need to open the 'Object List' panel of the document and, for the object whose changes you wish to view, click on the icon; the object's changes panel will open and show a list of cards sorted by date representing the changes made to the object over time by one or more users.

Types of changes

The changes panel keeps track of all changes made to the object, including deletion and restoration. In the list of changes to an object, each card represents an action made on the object (addition, modification, deletion, etc.). Each change will be displayed in a different colour (blue for additions, orange for changes and red for deletions).

Note. The delete action will only be displayed when the user restores the document from SharePoint to a version in which the object was present.

Using the change panel

From the changes panel of an object, expanding a card will display additional information, such as who made the change and when. For each card, you can click on the arrow to access the details of the change. Each card will display different information depending on the type of object. For all objects, each card will display the following information:

  • Date and time when the change was made
  • Type of change
  • User who made the change
  • Current Value and Previous Value (only in case of changes). For all objects, general information such as Name, Type and any additional information will be displayed. In addition to this general information, depending on the type of object, it will be possible to have further details about the change. For example, in the case of a Tagetik table object, information on the data source (Application, Form, Sheet, etc.), any parameter values selected, and inherited formatting (from Source or Document root) will be displayed.
