Migrating Documents from Collaborative Office to Intelligent Disclosure

Requirements

The following conditions are required to start the process of migrating documents from Collaborative Office to Intelligent Disclosure:

  • Access to Collaborative Office and Intelligent Disclosure systems
  • CCH Tagetik role to export and import documents
  • Document structure and contained objects must be updated

Migration procedure

  1. Exporting documents from Collaborative Office
  2. Importing Documents into Intelligent Disclosure

Exporting documents from Collaborative Office

application database > Folder > Master document > Export (Ribbon) > to intelligent disclosure > select the Export Folder > OK

This procedure allows a document and its contents to be exported.

  1. Access Collaborative Office
  2. Click on the application DB to export
  3. Click to expand the documents folder
  4. Select Master document (not archived) visible in the structure
  5. Select Export
  6. Click on A Intelligent disclosure
  7. Choose the local path where to save the exported file with .zip extension

Note: Any archived documents must be restored before proceeding with the export.

Note: Only one Master Document can be exported at a time.

IMPORTANT: Before proceeding with the export, please check that the following characters \, /, ;, *, ?, ", <, >, | are not present in the Document Part descriptions. If they are present, the import system will automatically replace such characters with a space

Importing Documents into Intelligent Disclosure

application database > Import (ribbon) > Sharepoint folder > Exported.zip file > Import

IMPORTANT: Before accessing CCH TagetikIntelligent disclosure upload the file.zip exported from the Collaborative office to the tenant's dedicated Sharepoint space.

This procedure allows a document and its contents to be imported.

  1. Access Intelligent Disclosure
  2. Navigate to the Document Import Tool Section from the ribbon
  3. Select the target folder
  4. Select the file with .zip extension located in the previously uploaded sharepoint folder
  5. Select the target folder
  6. Select import
  7. Check Documents Uploaded and visible from the Library Panel
  8. Open the document and check that all parts of the document, attachments and contained objects are imported and displayed correctly.

Note: Only one Master Document can be exported at a time.

IMPORTANT: Once documents have been migrated, they can no longer be produced using Report Bursting. For features not supported in Intelligent Disclosure, consider alternative workflows that can provide similar features. Though some functionality may not be migrated, the new system offers advanced features that will enhance your document management experience.
