Page purpose¶
From this page, you can manage user rights for Intelligent Disclosure within the solution CCH Tagetik, i.e. assign native SharePoint rights for accessing documents and/or Tagetik rights for defining the document approval process.
IMPORTANT: The user rights functionality in CCH® Tagetikis only fully available if the M365 admin has given permission for allsite.full control. Granting permission enables the management of SharePoint's permission levels, which otherwise can only be managed from the SharePoint user interface. Whether or not permission is granted, the user rights functionality allows the management of the native permissions of CCH® Tagetik (Submit and Approved Levels described below). For information on how to grant permission see PDF document in Community How to Guide for the first set-up.
IMPORTANT: To manage permissions for a user belonging to a domain group, the user must access the SharePoint environment integrated in the product solution at least once.
To manage permissions for a domain group, the group must be included in a SharePoint group.

User rights and icons¶
In the grid, icons are displayed according to the user's rights on the document. Rights are divided into the following types:
- native SharePoint rights, as specified in the Microsoft documentPermission levels in SharePoint)
- native rights of CCH Tagetik: Submit, Level 1 Approve, Level 2 Approve, Level 3 Approve, Level 4 Approve, Level 5 Approve
The SharePoint native rights classified in CCH Tagetik include the following categories:
- Set-up
- Contribute
- Read-Only
- No Access
The icons, divided according to the type of user rights, are as follows, in order of priority:
| Icon | User rights | Allocation Rules |
|---|---|---|
| Approve right (any level) assigned to the document or SharePoint's native Set-Up right | if the permission level includes at least one of: delete document, delete document versions and change permissions; | |
| Submit right assigned to the document, i.e. SharePoint's native Contribute right | if the permission level does not include any of the permissions for the icon , and at least one of the document's edit permissions. | |
| SharePoint Native Read-Only Right | if the permission level does not include any of the permissions for the icons and , and if at least one of the permissions is view of the document and its versions; | |
| No rights assigned to the document or SharePoint's native No Access right | if the permission level does not include any of the permissions for the following icons: . |

IMPORTANT: the allocation rules are valid for SharePoint native rights

IMPORTANT: In the case of both single and group permission(s), the one with the highest priority prevails in the Add-in (according to the order of the icons in the table).

IMPORTANT: the owner user always has Full Control permission level assigned to any document, regardless of assignments/deletions made on the user.
Approval Process configuration in CCH Tagetik¶
The user assigns the Submission permission and approval levels for the document.
In particular, up to 5 approval levels can be assigned: Approval Level 1, Approval Level 2, Approval Level 3, Approval Level 4, Approval Level 5.
Associating a document with a user or a group of users requires defining permissions for submission and for approval (the latter may be an additional step after submission).
It is possible to assign a singe approval level (among the five available), multiple levels (not necessarily consecutive), or even all levels.
IMPORTANT: Submission permission and one approval level can be assigned to one or more users or user groups. However, each user or user group can be assigned no more than one of these permissions.
IMPORTANT:Any changes to the permission settings, for a given document, only take effect in the approval process if the document is in a prior approval state.
When assigning an approval level, CCH Tagetik displays the user-modifiable Enable Edit button, pre-set to false.
Note: The Enable Edit button can be enabled on the same document for multiple users/user groups. Moreover, a user/group of users can also have the Enable Edit button enabled on several documents at the same time
